What data we process

We process the following categories of data:

  • Search input. The keywords, topic context and language you enter to generate a topic map, and (for the coverage feature) any URL you submit for analysis.
  • Generated content. The topic maps we generate for you, stored so that your results remain available under a shareable link and (when signed in) in your history.
  • Account data. If you sign in, the identifier and email address associated with your account, used to attribute your saved topic maps to you.
  • Technical data. Server log data such as IP address, browser type, operating system and time of access, processed by our hosting infrastructure to deliver and secure the Service.

You can use the core Service as a guest without signing in. In that case we do not store account data.

Purposes and legal bases

We process your data in order to:

  • provide the Service, generating topic maps and analysing coverage for URLs you submit (Art. 6 (1)(b) GDPR, performance of contract / a requested service);
  • maintain your account and history when you choose to sign in (Art. 6 (1)(b) GDPR);
  • operate, secure and improve the Service and prevent abuse (Art. 6 (1)(f) GDPR, legitimate interest).

Service providers and third parties

To operate TopicLoops we rely on the following processors. We have concluded the data processing agreements required by law where applicable, and only the data necessary for the respective function is transmitted:

  • OpenRouter (OpenRouter, Inc., USA): generates the topic maps and runs the coverage analysis. The keyword, the topic path above it and — for a coverage run — the text of the page you submit are transmitted to OpenRouter, which forwards the request to the model provider serving the selected model. We send no account identifiers with these requests, so the content cannot be linked to you by the provider. Further information: openrouter.ai/privacy.
  • DataForSEO (DataForSEO LLC, USA): used by the coverage feature to fetch a URL you submit and convert its content to text. Only that URL is transmitted; no data about you is sent with it. Further information: dataforseo.com/privacy-policy.
  • Clerk (Clerk, Inc., USA): provides authentication and manages account data if you choose to sign in. This covers your email address, login metadata such as time and IP address, and any details supplied by a third-party login you use. Further information: clerk.com/legal/privacy and clerk.com/legal/dpa.
  • Paddle (Paddle.com Market Ltd., United Kingdom): acts as merchant of record and handles payment and subscription processing for paid plans. Payment details are entered with and processed by Paddle, which also collects the billing and tax data required by law; we do not store full payment data. Further information: paddle.com/legal/privacy.
  • Hetzner (Hetzner Online GmbH, Germany): hosts the application and database on our behalf in German data centres and processes server log data. Further information: hetzner.com/legal/privacy-policy.

Cookies

We use cookies only where they are technically necessary to operate the Service, for example to keep you signed in. We do not use advertising or third-party tracking cookies. You can configure your browser to refuse cookies, although some functions of the Service may then no longer work.

Data retention

We retain the topic maps you generate so they stay available under their shareable link and in your history. We delete data when it is no longer required for the purposes above, or upon your request, unless a statutory retention obligation applies. Account data is retained for as long as your account exists.

Data security

We use technical and organisational security measures to protect your data against manipulation, loss, destruction and unauthorised access. All data transmitted between your browser and the Service is encrypted via SSL/TLS, recognisable by the “https://” prefix in your browser's address bar.

Your rights

Under the GDPR you have the right to access, rectification, erasure, restriction of processing, data portability and to object to processing. Where processing is based on your consent, you may withdraw that consent at any time with effect for the future. You also have the right to lodge a complaint with a supervisory authority.

To exercise any of these rights, please contact us at info@topicloops.com.

Changes to this policy

We may update this privacy policy to reflect changes to the Service or to legal requirements. The current version published on this page always applies.
